Position Summary and Functions:

Do you like to help other people get organized and drive administrative processes? We are seeking a self-driven administrative assistant who can be the backbone of functionality for our Project Management team. You must be a team player who seeks out how to help our PM’s become more efficient in their roles by taking some of the administrative duties off their plates. 

  • Material Procurement
    • Process Material Requests
    • Process Purchase Orders
    • Provide AASDI with tracking details
    • Confirm the materials were received as expected
  • Tracking Reports
    • Update the pipeline based on the GC Substantial Report provided by IND each week
    • Update GQueues budget tracker when updating the pipeline
  • Monthly Billings
    • Process monthly progress billings 
    • Upload all project invoices to Honest Buildings
    • Upload all service invoices to Service Channel
    • Assist Service Team with Not To Exceed Increase Requests
  • Estimating Projects
    • Complete BlueBeam take off
    • Potentially enter data in quote module and scope (to be reviewed and approved by others)
  • Deliverables
    • Create changes in BlueBeam when / as requested
  • Weekly Calls / Project Calls in General
    • Be able to attend calls when we have overlapping calls or are OOO to take notes and provide updates.
  • Collections
    • Assist with collection efforts when required
  • Equipment Programming
    • Schedule and coordinate programming efforts when materials arrive  at ASD® warehouse, this includes S2 Node, NetVR, and all Crestron AV rooms
    • Create a WM ticket and schedule the programmer
    • Once programmed, coordinate shipping the materials to the AASDI with Howard

  • Associates Degree Preferred
